Marketing - What do we want card to say? Name, contact info, email, website, the words stilt troupe. The price is still pending. Tara passed around some drawings and people commented.

Membership - The discussion was animated. We came up with a proposal for conditions and expectations of membership which was with the condition that information from the 7/21 meeting be included.
PROPOSAL: Members of Chicks on Sticks are expected to stay in communication and participate in some of these ways: attend meetings, administrative tasks, paid and unpaid gigs and performances, education. We expect members to be to have an investment in the mission of COS; be professional in communication, timeliness and appropriateness at gigs; supportive of each other's artistic vision; team players; respectful of other's physical safety and personal boundaries; understand and participate in collective management; good feelings and a sense of humor is highly appreciated. PASSED with condition.
New members - PROPOSAL: Martha and Chelsea. PASSED. Tara will talk to them.

Proposal: Cos will pay for one hour consultation at Springboard for the Arts to be attended by Sharon and Amy b. Upper limit $150. Passed

Costume making: Shelley's mom donates sewing time to non-profits plus $500 from med-tronic. Can we make use of this? Unknown if we need to be a 50l(c)3. Proposal: If we qualify for this program, we will spend up to $100 to purchase material for costuming for chicks. Passed. We will discuss what to make when we qualify.

Stilting in park: will be Email discussion. Gaea

Upcoming gigs: unknown

Backup for gigs: Should we assign one extra stilter as backup for each gig?
Proposal: The next person to respond after the gig is filled be the backup ie first called to fill if someone can't do it. Passed
Much discussion about the role of the coordinator and who is responsible is someone can't fill the gig.
Needs further discussion when talking about roles.

Does COS need to purchase ladder and boards for stilting up? No.

Costume making : Emails will be sent about exact date. 2nd week of August preferred Mon or Tues Gaea

Marketing: Women's press expensive ads. Will they do a feature article for us? Website improved. Does it need updateing? Do we want cards? We had business cards in past. Vista.com has free.
Proposal: to have business cards made that we can carry with us to gigs. Passed.
Tara and Amy T. will investigate options for business cards by next meeting and have 2-4 options to choose from. If any one else has designs bring them. Must include website, email contact info.

Membership:
What does membership mean? Discussion notes:
We need to fill gigs and it has been difficult this summer. Adding 1-2 people proposed
If no new members the org will die out
If we add new members we could discuss what membership means with them
Concern about one or two personalities dominating, feels definition of roles is important


What chicks organization might look like
AmyT Board with officers, core group of performers, 2nd tier of performers, limit number of members
Gaea- membership contingent on many things- administrative, ability, experience, 2 tiers, mentorship
Malia- feels that some of the concern about gigs/membership is fear-based and we should trust ourselves
Tara- loose structure has given her room to grow, willing to take on things as she is able, buddy (less formal than mentorship) for a few months
Malia- We need a deadline to decide membership.

Here are the notes from our July 1 meeting, in Tonya's lovely backyard.

We discussed membership questions, and came up with the following proposal:
1) Pool a list, of all the names of people we think would make good Chick-candidates, as well as people who have actively inquired about becoming a Chick.
2) Add to / comment on the Pros & Cons list (what we came up with is written below), as far as qualities we want and don't want in prospective members.
3) Meet in person to discuss each candidate. We also discussed the possibilities of doing a "just because" art-happening, Guerilla-art style, and trying to get as many of us involved as can come. There are a few thoughts behind this, but mainly one of getting together and doing something fun together as a group. Ideas about this follow are below. We can talk about the "guerilla-stilt" event more when we next meet.

a) listing any Chick-candidates you know of
b) any additions / comments you have on the pro/con list below
c) if any of the dates Gaea proposed below work for you.We thought it would be best to meet later this month, and get the new members added sooner vs. later, so that the new Chicks can get in on some gigs this summer.

Cons: (Why someone would not be a desireable Chick:)
Fear (they make us afraid / others afraid). ie. Reckless behavior, non-awareness of boundaries (physical or emotional).
Non-professionalism: (track record of non-communication, flaking out, being late for gigs)
Personal Agenda (not having a team spirit)

Check-in centered on general feelings of frustration and feeling stressed about how personal feelings and personalities affect group dynamics. Also gratitude to be together and moving forward.

Discussed retreat -
What we liked and disliked :
Grateful to have identified points that need addressing and that so many of us could be present. Wish we had made more decisions instead of just pointing out and setting aside problems that need to be addressed.
Sharon will resend retreat notes.

Email communications have been difficult, as some people have been left off chains and thereby miss information. Amy B will send out email address list of complete and current emails of members. Everyone should save that list and use that as the master email list (subject to change). We also discussed how email is an imperfect form of communicating. It is not possible to read someone’s tone/intention in an email.

Moveable Feast (May 20) update
-they tried to contact us via the web site but it didn't work (did it bounce back or did we not respond?) so searched out Amy B on FaceBook. Had seen us at other events and wanted us at their annual fundraiser.
Short turn-around in organizing this gig. Amy B had suggested we try the lottery system for this gig as an experiment, but there was much confusion regarding what that means.

What is the procedure for trying new ideas regarding choosing performers for gigs? We had agreed at the retreat we would like to explore different ways of assigning gigs, but hadn’t hatched any plans how to make that happen.
Google calendar? How does it work?
facebook calendar? Do we trust it?

At the next meeting we will have a blog tutorial (led by whom?) So, bring laptops to next meeting.

Proposal by Gaea: We try for this summer to use the equality bidding method for KNOWN gigs on a rotating personnel list. Passed. (NOTE FROM AMY B: Who owns this? Who is coming up with personnel list and deciding the order? Did someone take that on and it's just not in these notes? or did we leave it unresolved for now?)

Proposal by Gaea: For NEW gigs, we rotate trying different methods one per month. Passed.

At the end of the summer we will evaluate how each of these systems worked for us, and move forward from there regarding our policies for staffing paid stilt gigs.

New Members? Can we bring people into the group now, or do we need to wait until membership committee meets? Wait.
What about stilters who have performed as CoS in the past? Are they grandmothered in? (not yet)
Are potential members welcome to play stilts in the park over the summer? Yes. It's like a trial period before they become voting members.
Due to the transitional space the group is in at the time, it's difficult to welcome new members. Can they handle the politics of us right now? We're working it out.

Non-agenda items we discussed:
- seamstress who made the cirque costumes for some stilters (in a non-chicks gig) may be able to make tops for us all. Tara will contact.
- Can we have another sewing night? or just hang out?
- There is a chicks FB page. Who started it? Who is an administrator? (Tonya will investigate)
- How do we post gigs on the web site?
- One night this summer have open stilt night. Men and boys and whomever!

Feb 11, 2010 Meeting

Since we did not have quorum we were not able to tend to any business.

We did however discuss the finances and what resources are available to help us organize our bookkeeping/taxes. Amy will research some resources and send to finance committee (complete). Sharon will follow up.

We also discussed insurance and resources that we could utilize to investigate policies. Tara is looking into these.

Checkins: Many people had projects coming up. Art Shanties at Medicine Lake 1/16-2/7, Malia has a performance coming up, Anne has show in June, Shelley doing after school book program and Art Sled Rally 1/30.

Website
The website now uses Wordpress. Homepage can be changed to include current info.
More photos have been added and may need to be organized into galleries.
Proposal to combine the Who We Are page and the What We Do page - PASSED
Proposal to have bio page include a photo of your choice and a 1 paragraph bio -PASSED
Bring photo and bio to Soozin at the next meeting.
Proposal to have an alumni page for currently non-participating stilters -PASSED
Shelly will look up old members info to inquire if they want to be active or not.
Proposal to pay Nick Lethart(?) $200 for updating the website -PASSED
Proposal to pay Nick $40 yearly fee for maintaining the domain name.-PASSED
Website committee needs to set a date to meet. If you want lessons on updating the website attend the committee meeting. The main complaint about the website was the pink/purple color.

Finances
Soozin and Sharon will meet to work on the spreadsheet of last year's gigs so that dues owed can be paid.
Soozin will send out 1099 forms to anyone who she paid a total over $600 last year, mostly from State Fair.
Suggestion to pool our knowledge of finances, taxes, etc or get a presentation by Womenventure at a meeting.

MRAC
Grant proposal for organizational development retreat is in!! Thanks Anne, Soozin, Gaea, Tara
If we get it the retreat will be at Amy Blumenshine's house, March 13 1-6pm, March 14 12-5pm.
Bring snacks, arrange your own child care. These things were not allowed in the grant. Naomi Cohen will be the coordinator.We need to put a $150 deposit for the room.

MN Rollergirls Gig
Proposal to pay for flags and costumes with Chicks funds- NOT PASSED
Funds are low and this is a non-paying gig.
Anne and Amy will talk to Dottie about getting publicity for COS in the program or on the website.
Questions for Amy T. (not present) about scheduling rehearsals and costume specifics. Those involved will meet with Amy.

NorthStar Rollergirls Gig
Gig is on Feb.20. Wear Carnavale type costumes, Soozin will coordinate costumes and find out what songs the Brass Messengers will be playing. Soozin, Tara, Gaea, Anne stilting. Sharon, Malia ground.

Summer Projects
Ordway is already in the works.
Soozin will be gone June and July.
Suggestion to come with 2 gigs /festivals we want to cold call for next meeting.
