Chicks on Sticks Meeting Notes – August 28, 2014

Amy: Life is going well.  Tri is doing great.  Finances are hard and world news is bad.
Laurel: Has things for people!  Excited to be here! Things are exciting and lots of awesome things are happening!
Angie: Many things are going well, including great workout in ariel class.  Abs hurt.
Deb: Just wrapped up Open Streets.  I twas SO good, working in the right field.
Anne: NY Mills = great! Troll heads playing soccer on stilts!
Tonya: Happy to be here and out of the house.  Preschool starts tomorrow and Lilian's dress needs sparkles so she'll wear it.  Chick in training!
Soozin: Up and Down summer.  Anniversary of father's death, lost job, got new job, working on getting out of debt.  Stability vs Risk and how to do art in that.
Malia: Personally good, globally appalled.  Working on a performance art piece that is not a protest of vision, just art.
Gaea: Sick.  Job hunting.  Fest started, which is fun.  Life is good.
Tara: Just got back from WI.  Hard choices about Violet's health and general life stuff.  Barebones is starting.  Lots o' emotion.
Gabrielle: Been awhile but here now, so Yay!  Working boring jobs and looking for something better.  Started martial arts classes = good.
Sharon: School started before Labor Day = :( Feeling backed up on things to do.

Agenda:

Finances:
Sharon: Current balance: $5,365.75
            Missing checks: Aquatennial, Women's National Night Out, Minneapolis Institute of Art, University Health Center
Anne: Aquatennial and WNNO = working on it.
Sharon: How long can we/should we wait to pay stilters if the check hasn't come in?
Anne: 1 week seems like long enough
Soozin: Some contracts take longer
Sharon: Need time to do the processing.  Usually a week.

Proposal: Everyone gets paid 2 weeks after a gig, even if the check hasn't come in.
            PASSED.

Sharon: Finances for the Little Mekong gig:
            $1500 from C4 grant
            $750 from last meeting vote -meant to cover the cost of the stilters
            Equals $2250. 
            We have spent: $2215.63
            We need           $250 – Coordinator fee
                                    $40 – Seam binding paid for out of pocket
                                    $60 – battery pack and EL wire that were forgotten
            Total needed = $350
(Secretary's note: these numbers are the ones we agreed on after all the following conversation happened.  The above numbers are, I think, final.  To be double checked against the treasurer's numbers.)
Deb: Please clarify
Soozin: Original grant = 2-3 stilters, final group was 7 people so we added money but due to time constraints we are doing the money retroactively.
Amy: I don't want this to be a precedent.
Deb: I want to support the project, but I don't like the precedent of doing finanaces retroactively.

Tara: This was a learning curve for costume creation
Anne: We need to write down the price tag for costumes for future reference.
Gaea: I'd like to have a wrap-up meeting
Soozin: There was a wrap up with Little Mekong. 
Amy: What about with us?
Soozin: I can coordinate this.
Malia: Can we do a review of finances?
Sharon: (Lots of numbers)

Proposal: We pay $350 to the necessary people.  (See numbers above.)

Deb: Alana wants a stilter dance party at Bedlam – aftertainment for pre-set party
            11th/12th or 18th/19th 10 pm-12am
Discussion of dates.  Deb will email Alana and get back to the group.
Discussion of safety, especially around slippery, beer-covered floors.  Deb will email Alana and get back to the group.

Soozin: Little Mekong wants us back for another night.  Who wants in?  Lower pay rate than usual.
Laurel: Can do and is borrow costume from Gaea.  Will ask Sarah, too.

Gaea: Project Success may be interested in stilter workshops.  In contact with them. 
Pillsbury House?  What's going on with this?
Malia: Nothing yet.  Will follow up.
Gaea: I want to do stilting with acro and ariels and more physical stuff.  I will be doing this this winter.  All and sundry are welcome to join but the troupe/group/whatever that comes out of it won't be CoS because we need boys for some tricks.  This isn't meant to compete with CoS, but fill a different niche in the stilter ecosystem.  But come and play!  Everyone welcome!

Deb: What's up with Sarah?  She said she'd be here and isn't.  Does this mean she isn't voting?
(Discussion.  Lost the train of writing due to participation.)

Proposal: We bring Angie and Sarah in as non-voting members and Laurel in as a voting member.
            PASSED

Gabrielle: Did I miss the deadlien for voting members?
(Discussion including lack of response to attempts at contact.)
Gaea: I think the issue was that you missed too many meetings to meet the minimum for this year.  The new year starts in January, which is only 2 meetings away.
Amy: Has presents of shiny things for new members!  Yay!

Next meeting:
Amy: I'm uncomfortable with this.  We agreed on these dates, set them in stone and said this is part of being a voting member.  They shouldn't be negotiable.

Malia: Table/ we don't need to discuss the dates.  These are what they are.

Nomination Process:
Soozin: Not clear in step 1 – Sponsors can nominate and add to group without group consensus?
Amy and Sharon: No, that's not what it says.  There is a clause to the whole group agree on it.

June 26, 2014 Meeting Notes


Chicks Meeting – June 26th, 2014

Attendance: Soozin, Tonya, Deb, Malia, Anne, Gaea, Tara, Sharon, Amy

Malia: glad to be here, leaving town tomorrow for exciting workshop about fracking
Anne: Is well and Happy!
Gaea: Didn't work today and is happy and relaxed
Tara: Just got back from visiting Martha in CA and has summer plans starting next week, which are good.
Sharon: Summer school is easy but wake up is too early.  Life is ok.
Soozin: Feeling rushed but has a good swap with volunteers and is developing partnerships.  Trailer has 60 kids performing at an Open mic night in St. Paul.
Tonya: Good.  Little tired because moming.  Spent the day at the park, which was good.
Amy: Really good.  Been in HOBT-ville the last week which is really fun.  Stilters from Mayday are still feeling the effects of that life changing experience.  Germany and Paris and Cleveland!  With a Mammoth!
Deb: Quit ugly job.  Happy for it.  Just registered for last class of grad school and is getting gigs doing sm and such.  Graduation is coming soon!

Shelley and Kat both say they don't want to be voting members.  Seem comfortable with decision and will review in Jan.

                        Federal tax ID is at Anne's house, official checks should be going there.

            Space rental needs to be paid to Walker and HOBT
Amy: Can we have an email follow up?
Sharon: Difference between “contracted” amount vs paid amount.  The pay is $75, the contract is for $100/hour. 10% goes to kitty, 10% to coordinator, 5% to kitty out of $100/hour.

Soozin: LISK = Group to create attention/branding to business districts along the Green Line.  LISK met with heads of groups and then chose projects to promote the areas.
CoS has $1500 to create glowing costumes for 2-3 stilters.  EL wire possibilities. 
Angie is doing a stilting workshop/Tall Tales workshop with communities.  Shows potential for teaching and getting paid to teach stilting.
ArtWave is the project for the night markets – 1 Saturday/month until September.  We have a meeting with them on July 17th.   Other artists we can maybe partner with.
July 5th opening normal fee! - LISK is excited about stilting!
Amy: Time check.  Can we get interested parties to meet separately.

Soozin – Can we put money in from the kitty to pay the stilters and use the grant to build the costumes?
Amy – Clarification: we use the money to buy costumes and pay stilts from grant?
Tara – the costumes would be property of CoS
Soozin – If we use the money to pay for the costumes, we can build them each to our body types.
Anne – Let's not be penny wise and pound foolish, this is a great opportunity to make beautiful costumes and get great press.
Sharon – it would be $750 to pay 5 stilters for 2 hours blocks.  That leaves $750 for costuming or we pay out of the kitty.
Soozin – there is an advantage in having costumes that fit us as individuals.
Gaea – second the fit the individual.  We are different types.
Tara – We should have some commonalities between costumes and we have great capacity between our groups.
Anne – Propose: The interested individuals meet (via doodle poll) and create a proposal.
Sharon – Propose: We use the grant money ($1500) for costuming.  Any money left goes to pay 2 stilters/hour at the market performance.  CoS will add up to $750 from our kitty to pay the stilters at the performance at standard $75/hr rate.

Voting Members Update!
Deb – Followed up with Kat, Amy, Shelley, Gabrielle
            Amy is in as voting member
            Gabrielle: Deb set up a phone meeting which failed.  She said she would be here tonight and isn't.
            Shelley: Said she doesn't want to be a voting member.  Not clear if she is tracking the process.
Amy – will talk to Shelley.
Deb – the people who won't/aren't voting members.  What does it mean to be a member, but not voting?
Gaea – can we get a spread sheet that shows attendance
Soozin – The co-op uses a spread sheet with agenda to do this.
Tara – Who are our voting members, who do we have who can do gigs.  It is stressful to know we have good gigs but feeling worried that we don't have the people to fill it.
Amy – Can we figure out the quorum now.
Deb – What do we do about Gabrielle?
Soozin – She hasn't been at the meetings yet.  She isn't showing up or engaging.  Maybe this is a sign of her not being able or interested now.
Anne – Personal connection with her and her mother.  She's not in a good place now.  Maybe we decide she isn't a voting member now and she can revisit that in January.
Deb – Is she a non-voting member?
Soozin – She can revisit that in January and the door is always open.
Deb – So, does she need to meet the requirement of the non-voting member?
Soozin – We're asking new members to meet certain criteria.  Does that apply to current/previous members.
Tonya – There is a history of people who come and go.  Members who were before should be able to again.
Gaea – we have 4 membership groups.  Voting members, performing members, voting and supporting members, supporting members.
Deb – can we do an alumni association?
Anne – Touchy feely stuff: It would be hurtful to say people who aren't meeting these requirements aren't a part of CoS.
Deb – So can Shelley and Kat take gigs?
Anne – Yes.  But then there seems to a different expectation between new and old members.
Soozin – this feels confusing and overly complicated. People might leave and take gigs elsewhere.
Anne – It feels uncomfortable to have people who aren't voting members, who aren't engaged take gigs which is a goodie in getting paid but it is also uncomfortable to give up history.
Deb – Proposal: We have 9 voting members.  In Sept/Nov we will discuss tiers of membership.

Amy: Let's bring it in
            Can we cut anything out of the rest of the agenda?
                        Not really.
Deb: Brought a proposal for the nomination process. 
Amy: can we table to process for the moment?
Deb: No, we need to have the process in place even though the process isn't applying to these individuals.
Sharon: Can we swap things around?
Anne: Let's approve the people first.  Then we'll do the rest after.
Sharon: Soozin spoke to Sarah.  She's interested and willing to attend meetings.
Malia: Spoke to Laurel, she's interested.
Anne: Spoke to Angie, she's interested.  She understands the requirements.
Deb: Was under the impression that they would be non-voting members.
Malia: It might make sense to have them observe a meeting first, before they become voting members.
(Much discussion about whether they will be voting members.  I was talking, couldn't write.)
Gaea: How about they decide if they want to be voting members and we explain that they would need to read the history through meeting notes or they can become voting members that they can choose to stilt and be members but not be voting until January.
Deb: we should make sure they are available for meetings.  Can we meet with them before to give them a heads up.
Anne: There are known conflicts with Angie.  Barebones, which might be a conflict for others.
Deb: Proposal: We vote the three members to become Chicks with the caveat that they can choose to become voting/non-voting members.  They can accept or decline their voting status then and revisit in January.
            Twinkle vote: Passed!
Proposal: The three candidates become members.  Their first meeting is July.

Deb: we need to follow up with people.
Malia: We should have twinkle power bling things to give them.  We'll bring bags and have welcome bags with bling.
Gaea: I still have bling that Amy sent me in Vanuatu in 2011.  Pretty power!

Chick Recruitment process!
Read Deb's thing outloud.
Amy: Designated Chick is someone who volunteers to communicate.  It isn't a person who is designated for all the times. 
            General agreement.
Amy: Declining a member is touchy business.  What is our policy?  It means we can just block a person if we don't feel comfortable inviting them which is good.
Anne: How do we say they don't fit in?  How do we do this in a way that isn't being jerks?
Deb: We say they don't fit the “cultural fit” guidelines.  Which hopefully we can do nicely.
Amy: Its only come up once in however many years.
Tara: Each year we can look at how many members we need and discuss in January.  Then it is on the participant to check with us at the right time.
Gaea: The nominating Chick shouldn't be promising a woman something.  She should come to the group first and bring up the woman as a possibility then go to the woman.
Malia: It is important to protect this thing we've created and the choices we make about membership is the first part of that.
Deb: Look at paragraph 2.  Maybe we need to reword from candidate
Tara: Value of having a sponsor or mentor to give a new Chick a person to discuss issues with.
Sharon: This is after we're pretty sure someone is going to become a Chick.  What's the pre-part?  The part where we invite them to do some gigs, or something.  Is there a process for that?
Tara: Need to recommend someone from something.
Deb: Other organizations are important in our recruitment.
Malia: Playdates don't show responsibility.
Deb: Does this need to be a part of the criteria
Gaea: committment to the gig
Deb: Maybe we can tease this out more in Step 2.  I'll do it.
Sharon: Requirement to come to a meeting first.
Deb: Step 6, they have the option of becoming a voting member after being involved for awhile.
Sharon: Can we combine things like step 4?
Deb: Its apart because that gives them more chances to see how the process works and choose to decline.
Sharon: Not ready to vote on this process yet.
Deb: I'll work on it and email out a new version before next meeting.

            Amy: pending Bart's approval, yes. (update: due to funding, those pants can't be lent out.)
Amy: Can we do a volunteer gig for Jeanie Pikos in September?  She has cancer.

Malia: Youth outreach: How can we fill the gap at Pillsbury house from age 12 to college prep?
Tara: Masa has taught there already.
Malia: Can we do costumes, and being fabulous, too?
Anne: Can we work with Masa on that?
Malia: Of course, but he's working with younger kids. 
Amy: Is there a budget?
Malia: Unknown.  Should I get more info?

Malia: We might not have quorum.  Changing sets a bad precedent.

Anne: September meeting has conflicts already because it conflicts with the barebones builds.

May 15, 2014 Meeting Notes


Chicks on Sticks Meeting – May 15th, 2014

Discussion: We're all stressed but let's go ahead with the long one

4.     Recruitment of new chicks!
Soozin – What's our process for inviting?  What's qualifications?  We were all supposed to think what we wanted in future chicks and what makes a good chick.
We could go around or just popcorn – Twinkle on all agree rather than repeat
We flip the order and get an idea of what we want then talk about the process of inviting
Gaea- Yes!
Anne – If you want to be part of CoS and get th goodies like performance or gigis, you need to put your skill set to use including costumes, meetings, etc.  Let people select what their strengths are and use them
Sharon – Before that, we need to want CoS to be and identify tasks that we need so that people can volunteer
Anne – sent out list in last email: Costumes, secretary, admin,
            Other ideas: grant writing, committee work, financial,
Sharon – if we want to teach, we need to have teachers/people coordinating teaching
                        How many hours do each of these tasks need
Anne – you mean to create accountability
Sharon – sort of, but more so that everyone is participating
Gaea – what about people who don't have skills yet?
Anne – We should have a mentorship program and mentees get a pass for a certain period of time
Sharon – That's a larger conversation that we need to have about unpaid teaching/service things
Soozin – The coop has 4 major committees that everyone has to be on.  What if we use this model:

Membership Committee: Mentorship, playtime, community support, confidence building, costuming, character development, public perforamnce
Stewardship/Admin Committee: Setting up gigs/admin tasks, notetaking and uploading to blog, contracts
Finance Committee: Taxes, grant writing, accounting, insurance
Outreach Committee: Paid and unpaid gigs, teaching, marketing, new gigs/opportunities, website, archiving

Malia – isn't setting up gigs paid? 
Soozin – There is pay, but it isn't always enough for small gigs
Deb – It feels like active participation, because the compensation isn't quite enough
Soozin/Deb – Issues with Mr. Fun – general agreement that he is NOT good to work with
Soozin – bakac on task
Anne – Can we put a mentorship position in the admin stuff?

Malia – What does outreach mean?  Are we actively trying to seek out new stuff
            Shared story about group of boys in Powderhorn
                        Large group of boys and police officers, Malia, Laney and friend went to go stilt.  They spoke with the boys and invited them to stilt.  The boys did trust falls and stilted.  Powerful experience for Malia.
            Is this outreach?  Are we focusing just on girls and women? 
Tara – This is maybe a larger conversation.  For me, we have this skill and it is with CoS, but we also work outside.  Niccole and Tara are teaching at Nicollet for the joy of it.
Deb – For today wants to see blank canvas to general wash and hone from here: this is a good starting place
Soozin – New members that we are looking to recruit should be willing to participate in: admin, finance, outreach, performance
Anne – If you get injured/life happnes/whatever, can we put a piece in place about finding your own replacement – is there a word for that?
Deb – Professional responsibility?
Soozin – notifying coordinator or whatever, committement to the gig
Malia – what is insurance?  Liability insurance?  Do we need to have our own helath insurance
Soozin – Yes, we should probably have that on the list of new members
            New members will be expected to be on 1 committee, have health insurance, etc
Gaea – Can we go back to the difference between paid positions in admin vs the active enagagement of being a part of CoS?
Sooin – There is/could be a position for the overall person and still have unpaid assistants
Gaea – I still think there can be a conflict here
Tara – I think we need to get back on track for this meeting.
Sharon/Anne – Can we table this for later?

Anne – Proposal: Can we vote on the 3 people we've been talking about?
tonya – Do people need to be able to stilt?
Deb – there is a position in roller girls for people who can't skate. 
Anne – An Allies position!  Dicks on Sticks!
Soozin/Anne – Pople ask to join,  this is a place that we could use mentorship
Tara – This is mentorship and we lead them in gently
Sharon – some pople just want to get paid to walk on stilts
Deb – Proposal: Under the umbrella of being part of Chicks as a paid performer, an individual needs to have sufficient stilting experience and the ability to put together a costume.  New Chicks need to be recommend by X number of sponsors, including 1 person who has stilted with them, who say their skills are sufficient to keep up the reputation of the group.
Soozin – Need to have a committment to the organization of CoS
Lots of discussion about cultural fit, what does this mean?  Supportive/non-aggressive, collaborative dcaretive process, consensus decision making
Soozin – Maybe cultural fit is something we decide on before we invite a person, vs put on the list of things that are part of membership.  This might make some people not a part of the quorum?
Sharon – We've talked about having 2 tiers before.  1 tier that is full voting/gig tkaing, etc, but a second wider group that doesn't take gigs but is learning and building up skills to work towards the first tier if they want
Anne – We want people who are clear, kind and positive.  The bigger group is open to anyone (more or less) but then to join as a member they have a conversation about what that really means
Deb – People will be voted to be: performing/non-performing and voting/non-voting
Malia – like an onion

Soozin – The process for inviting.  Proposal: We don't have a complete process for inviting all members but that we have had enough conversation about the three initiates that we invite them in as members now and continue to work on the process for membership.
Malia – Someone goes and talks to each person between this meeting and the next and lays out these membership rules to each person.
Deb – This seems like a bad idea.  It seems like we aren't getting organized enough yet to give them the respectful entrance they deserve.
Malia – The next big thing is values and missions, which is would be good to have fresh people
Gaea – We had this conversation 4 years ago.  I would like to have new energy sooner and making sure they are brought in politely and officially among the group.
Tonya – The energy is special in the summer and it would be good to have that energy with new people, epseically because the new people bring positive new energy.
Soozin – I don't think people will be counter to this.
Deb – Not comfortable making this decision right now.
Tonya – How are people feeling about that?  The three who we're looking at inviting.
Tara – I pologized to them last week because of this slow process.  They were gracious about it.
Soozin – Maybe we don't invite them to be members now, but we invite them to be a part of gigs this summer. 
Sharon – Give them a list of what we want in a member and they can have an idea of what the proces looks like.
Tara – I think we need to do this before people get bored an dleave.

Malia – A proposal: We take these criteria to the individuals and then we look at voting in July.  They will be in the vetting process and then in July we vote.
Tara – This gives us information and gives them the chance to decide if they want to do it.

March 16th Meeting Notes

Tara: Doing well. Quilts. Overwhelmed a little with work, keeping it up.  Moving into more balance, & is good.  Going into spring in a good way.  Redwing Barebones Retreat.  Enjoying moments to glide.
Amy B: Unemployment is busy!  Started teaching with HOBT.  Munich for Tri’s work, Paris!!  Teaching with Adventures with Cardboard.  Soul searching about what she wants to do when she grows up.  Tri’s health is good.  Fostering dogs.
Nicole working on Phillips project, w Mary Jo, Phillips history project.  Making jewelry.  Got into their 5th shop, the Eclectic Goat.  Records and Rubber ties.  Chickens!
Deb: Been in Grad School world.  May 2016 will graduate.  3 classes, residency, and capstone.  Tools for helping artists and herself.  Personal self-evolution thru a business degree.  May move to NY.
Tonya: fulltime mommy.  Lillian is 4 yrs, Oliver is 16 mos.  Teething!  No sleep!  Mask over sleep deprivation.  Dad cancer.  Spending time w moms and kids.  Felting.  What’s the next chapter?
Malia: Taking a break from puppetry, though is still teaching residencies.  Healing Arts: has own practice started.  (Get a massage!)  Activism and Arts/creativity.  New ways to organize.  In a 9-month training program for Community Organizers, called “SPEAC” (Sustainable Progress through Engaging Active Citizens) at Hope Community.  Looking specifically at intersection of issues on racial equity and learning more about the issues that are up in other communities in the Twin Cities.
Soozin: crazy last year.  Mom, dad, and mentor.  What makes her happy?  Anne Carter meetings, career counciling, life-coaching.  What intentions to call into her life?  Contentment, calmness, and joy.  German heritage.Community engagement w people.  How do we get more parks?  What kind of park?  A plaza, a gathering space?  Pop-up festival wagon.  May 10, big celebration.  Reclaiming park space in front of midway Y.  Saying no to things.  Trying to get a permanent part-time job.  Interview at Episcopal Homes.
Anne S: Came back from Ithaca NY.  Mentor died suddenly, heart-attack, weaver.  What’s important?  What do you leave behind.  Was teaching too many classes at one time.  Scheduling.  Looking at that.  Finished a show.  Bejabbered.

Question on the Agenda: “Should Chicks continue to exist?”  Other questions, like values or finances, depend on answering that first.
Tara: How shall we go about talking about this?

10 minutes General Conversation.

Amy: Where’s Sharon?  She brought it up
Tara: May be too busy working on stuff.
Tara: summarizing her concern.  Coming from a frustrated place?
Soozin: Overwhelmed with tax situation, whether we’re registered as a business or not.  Her name is on it.  Core issue seems to be about not having meetings = not having action on these issues.
Tara: A meeting got cancelled, so that added to the feeling that it’s not working.

Tonya: there’s differences between do we become a business vs. do we exist at all?  Legal responsibility?

Tara: at last retreat, 2 years ago. had thoughts about becoming a Federal nonprofit.  Became a state nonprofit, we’re in a limbo state. 
Deb:  Reading sharon’s email.  Taxes needing to get done.  “it seems most of the original chicks are busy doing their own things.  Biggest gig, children’s fest is under question, … Deb’s thoughts: We are having having trouble organizing ourselves.  Lack of clarity about values-questions could be holding us back.
Soozin: We had a retreat, and worked through with a facilitator, about some of these structural choices.  We couldn’t come to an agreement.  Since then there’s been a mix of how we exist as a group.  Some of the momentum is stuck.  Keeping the website up, keeping folks plugged into gigs.  Suggestions for teaching & doing things that didn’t move forward … had some meetings.  In 2011 we stopped taking notes and posting them to the blog-site.  There was a rally-period, then a falling back.  Tried to get meetings, not quorum.  Diff’t people have tried to push meetings forward, couldn’t decide how to spend kitty money.  We are really stuck

Kat: Who makes the decisions?
Tara: it’s about people’s availability.  If we’re not available to make time for meetings, we can’t move ahead.  It’s that simple. 
Deb: Has the stuckness affected how you feel in the project.  Lots of energy: if I’m not at the table nothing can happen-feeling.  Frustration.
Malia: not having meetings = loss of feeling of connection, sense of community.  It’s hard when the only way we communicate is email, and at gigs we see only one other person usually.  When we’re actually face to face as group I remember, oh yeah! I like being here with you.  I think we’ve let the community aspect of Chicks go, and that’s affecting our motivation.

Tara:   Process?
Kat: What’s blocking us from moving forward?  Because everyone here has shown up, it shows that this is an entity we want to be alive. 
Amy: it’s our 15th anniversary.  I have photos.
Soozin: How much time do we have and how much time does the organization require?
Time for outreach, for teaching, developing curriculum, teaching strategy.  Time for taking care of business and administrative aspects.  Archiving, taking notes, updating website, etc.  What Chicks does, what it can do, and how much time / people do we have to do those tasks?  Another way of evaluating that.
Kat:  What is Chicks?
Deb: I came because I would be okay with closing down Chicks, but would like everyone to be on the same page.  I do want it to continue personally,
Kat: Definition needs to be more fluid.  Soozin is naming things that are beyond our current level of organization.  Otherwise it’s too big.  We can’t do that.

Soozin: Suggestion: Do a Round robin, of why people came to the meeting.
Kat: I came because I love Chicks.  I haven’t been stilting, not sure she can contribute.  Wants to be a support-person.  The whole idea of Chicks should continue to exist in some form.  Wants to get people up.  So empowering.  Doesn’t want it to fade away.
Amy: I came cause I want to see everyone.  If we are gonna end I want to be part of it.  Hoping we’ll decide to continue, and hoping it can be something broader than gigs.  We can decide on gigs without quorum.  If we choose to continue, let’s revisit quorum so we can entrust each other to make decisions.
Nicole: I came … impassioned by last meeting.  Felt invigorating, ideas, hard things.  Being able to see a light at the end of the tunnel of non-communication.  Wants to continue that.  As a face of Chicks, I don’t like to miss meetings.  It’s important to be present.  Needs to make it happen to be informed.  Was alarmed by talk of ending things.  Doesn’t think we need to end things.  It’s the longest relationship I’ve had in a collective.  Not ready to grieve that loss.  No! don’t end.  Wants to recurit and teach.
Deb:  Came, okay with ending or continuing, but desires to work cohesively as a group.  Honored to be part of Chicks.
Malia: Apologize for my role in stagnation.  Being one of those people with big dreams but not planning things well enough to make them happen.  Could step up more in terms of organizing.  In general, would feel a big sense of regret if Chicks ended, because I know it could have been more and I didn’t do all I could to make it that way.  I think about the young women and mentorship, and passing along the skills and spirit I’ve gotten from being part of this group.
Tonya: love being able to say she’s a member of Chicks.  Would like to see it continue.  Done making babies.  Yay! Can stilt again, would be sad if the group dissolved.  Also came knowing we have bumpy processes.  When that happens I think okay, there’s lots of other things I can do.  Would love to see things simplified, people feeling burdens feeling their burdens are lessened.  Came feeling it would be okay if it dissolved, because our processes have been murky, consistently.  How could that really transform.  Lowering quorum sounds like a brilliant idea.  Giving ourselves permission to make decisions.  Doesn’t have to be involved in every decision. 

Tara: Checking in.  More time!  One hour left.  15 minutes over okay?  All: Yes.  Deb: we gotta be walking out the door at 8:30.

Soozin:  Group dynamic.  Groups form, they storm, they norm.  norming phase, but then we went into a re-forming phase, and never got out of the storming phase to get back to norming.  We may be in a re-forming stage.  We have been functioning as a non-profit organization.  What would we lose if we stopped being an organization.  We’ve earned 15 years of recognition in this city.  In the past couple years we haven’t done any teaching.  Haven’t been able to get it together to make that happen.  Lose our website, our identity.  People’s individual identities, also.  She was Barebones, then went into Chicks, then into Public Domain Productions.  The time, as we get older.  In her 20’s gave her all to making Barebones happen.  Then there wasn’t space for that anymore.  With Chicks, how much of my time can I put in, and how much can I count on others to put in their time.  Looking at collectives, what are models that help them run.  We don’t have a lot of time to spend on things.  Some orgs have exec directors that are elected, to make sure things run.  Committees.  45 years old, loves to stilt.  Wants to do it til she can’t do it.  Loves performing, creating characters, helps me be in shape and be fit.  Gives money, but also that high of performing, being at a gig and representing Chicks.  Strengths.  Likes doing admin, being in a leadership role.  Also willing to assist and support as well.  Would be sad if Chicks decided to shut down.  Can also understand from a business perspective why we may have to shut down.  People have to do the administrative work too.
Anne:  Love all you!  Coming from where she just came from.  Thinking about where her time is, what lights her fire, not doing things that are stressing her out.  Loves creating pieces like what we did, performing with people.  Believes in the empowerment…. already teaches plenty.  Supports other people doing that.  Would have to feel she’s getting paid for her time.  But teaching isn’t her thing.  With the Chicks comes responsibility.  Withdrew emotionally from Chicks, got upset we weren’t able to make decisions, and all that energy and we still can’t make a decision.  There’s problems here.
Tara:  Came, a big chunk of her life in the last 10 years has been with Chicks.  Has shaped who she is as an artist and has been a powerful thing.  Would like to see Chicks continue as a way for other people to do that.  Growing pains.  Sturggle with how do we pass that energy forward and do it in a good way.  How can we be supportive of each other.  Alternative organizations like Chicks are blazing paths in important ways.  Some of these same conversations happened yesterday at Barebones.  We don’t know what’s next because it hasn’t been invented yet.  Our role is important, in finding new ways to do this collectively and have it work.  Feels like she’s moved on to teach in other places.  Has felt frustrations, barriers in Chicks, defining how we move forward.  Would like to investigate, if we do want it to continue, how can we pass that baton more gracefully?  Because new lifeblood needs to come into it.

Sharon:  Yes, it is frustrating to do the money treasurer stuff.  Brought it on herself too.  Frustration is not being able to get enough people together to make a decision.  The comraderie and creativity has gone.  It seems to be an organization that gives gigs to people.  Doesn’t want it to be that way.  If we decide to be a stilting company then we need to redefine.  And yes, we have backtaxes, etc.  We’re not going to go under financially, we’re going to go under because of lack of commitment.

Proposal:

Soozin: 4 things had multiple stars on them.  If we move forward, that’s a good next direction to go.

Sharon: Financials.

Found out we are not a non-profit, have to pay taxes.  Fed and State.  To pay state taxes we had to get an ID number, Sharon and Anne.  Anne because she’s listed on all the papers.  If she goes to jail we owe her a cake and a file.  This is the tax forms for this year.  We have to do back the past 3 years. 
$65.70 for Federal.  $43 for State Income Tax.  It looks like it’ll be about the same for the other years.  Also 1% interest and some amount of penalty.  We have $4000 in the kitty so we’re okay.  Paying website, Soozin paid $40 for Hawkhost for hosting.  Nick… pay?  It would be nice.  He charges $200.  We paid him, maybe pay again.  Gift certificate for Dakota Bar and Grill.  Not yet paid Federal Income tax.  Sent in forms.  Can’t pay with a check, you need a special account.  It has to be an electronic transfer. (has been interesting things like that).    Minnesota’s okay.  THANK YOU SHARON!!!  Can we pay someone to do it?  Tax preparer.  Went to HR block, didn’t want to deal with it.  Sharon has a friend that’s been helping.  Acting as a consultant.

Sharon:  Called  Pam Lesch, cost would be $95/hr, est. $300.  (Malia’s tax person)
Also knows a person, Jessie Macinerny, w/o CPA liscence, would be willing to do it for free.  Needs to do 3 years of back-taxes.  Taxes themselves would be $300.  Jessica has been helping us for free, would like to pay her $50/hr,
Soozin: proposal: Approve up to 5 hours ($250), for Jessica to do it. If it takes more to approve by email. (if it’s 1-2 hours over this).  Tonya: doesn’t want our meeting process to get in the way.

Malia: Proposal was worked out in February.  We didn’t have quorum to pass it.  If we can agree to it or start there this could simplify things.

Clarification:  take out 2014.

We propose there would be 6 board meetings per year.  A voting member would be someone who could attend at least 3 of the 6 meetings.

Anne: we need to be sure we are not scheduling in such a way that certain ppl can’t come

Soozin: ideally you’d be committing to all 6 meetings, to be a voting member.

Amy: self-selecting.  You can change your own status… ask yourself if you can commit to 6 meetings.

Soozin: Chicks Annual meeting?  Reviews everythings, people can re-enroll, or say they need to take a break this year, etc. 

Tonya: would like it to happen January.

Deb: likes idea of keeping track of who’s attending when.  Protocol & rules can liberate us, with clarity.  We are well intended, but drop the ball.  Don’t want to spend all our time checking attendance. 

Amy: likes that we are saying it’s a certain time that recurs, so we don’t have to spend time Doodling, etc.  Having an agenda really helps, so ppl can chime in on things even if they can’t be there.

Amy: 2/3 active membership for quorum?  The next question we need to ask is “Are you a voting member?”

Tonya: do the math, then quorum is whatever the total is.

Collaboratively crafted proposal: Meetings and Quorum

We propose that Chicks on Sticks set up a scheduled, recurring meeting every other month for a total of 6 per year.  These meetings must have quorum.  Quorum would be 2/3 of the voting members .  If any member cannot commit to attending at least half these meetings, she would become a non-voting member for the year.  There will be an annual meeting, where members can choose to re-commit as a voting member.

Next steps:
A: Notify all members, ask if they can commit to be a voting member, clarify that you can participate if you can’t commit, but they will be a non-voting member and not counted in quorum. 
(Amy B agrees to do this)

B: Choose the date/month for the recurring meeting.  (after we know who is up for being a voting member.)

Note:  This would have to be accomplished in the next 30 days.

Sharon: (new members) There needs to be some kind of participation in the overall organization. Helping support getting gigs, doing taxes attending meetings etc...
Deb: We need to settle on an agreement and write it down before we invite new
Tara: We also need to define what makes us run & have some articulated commitment
Malia: Diversity is important—would like to think about where new Chicks are coming from, and how we are developing talent / reaching out to other populations
Soozin: There could be some kind of application or asking process.
There are many areas of engagement that members would be asked to participate in:
  • Gig-recruitment and Admin
  • Creating Costumes
  • Performing
  • Attending meetings
  • Outreach

Proposal:  The Agenda for the next meeting:
1)      Vote on new members / Quorum (*decide whether you will commit to being a voting member for this year.  Once we have this number, we can know how big quorum is.)
2)      Make a calendar for the year (choose a recurring date)
3)      Discuss membership and related issues, including:
  • Process of inviting
  • Responsibilities and expectations / tasks
  • Qualifications
Homework: think about what makes a good member and what we would want in membership so that we can come up with some common criteria.
 
            Note: In our June Meeting, we’ll address Mission, Purpose and Values.
