January 19, 2017 - Annual Meeting Minutes

Chicks on Sticks Annual Meeting 1/19/17

In attendance: Soozin, Sharon, Gaea, Angie, Niccole, Laurel, Tara, Sarah

Promises:
Gaea: Update Contact info for all Chicks
Soozin: Business Cards get cc info again and order
Committee for payment schedule development: Soozin, Angie, Gaea, Sarah, Laurel
Gaea: Insurance will follow up from Angie’s research
Policy Updates:
1.       Raise our rates to $125 per hour per stilter for 2017 applicable to all new clients
2.       In the case that we choose to engage with political matters the individual bringing this up would send it to all voting members and give voting members three days to respond back to meet quorum before proceeding with said action. If anyone says no, that blocks the proposal.

o   Niccole – not terrible not great Megan injured

o   Tara – not everything is terrible child having digestive issues and sleeping is difficult, trying to be patient, kid now goes by Gil
o   Sharon – Things are ok I have a puppy and granddaughter which I got to see. Student’s behavior bad and he’s really big and Allison is moving in for a bit
o   Soozin – just got off work

Review policy for missing meetings – 10 min
o   Gaea I want to have a policy that says if you miss more than 2 meetings in the preceding year you don’t have voting status in the following year
o   Tara That seems a little punitive as things happen in people’s lives that they don’t foresee
o   Laurel discuss Skyping in
o   Gaea it is punitive but if you’re not prioritizing meetings then it prevents us from achieving quorum and moving forward with decisions
o   Laurel I don’t think judgement against anyone and you could still do gigs but not being a voting member you could still get gigs
o   Tara There are ways you can participate even if not physically present
o   Soozin policy now is you decide at the beginning of the year you decide if you want to be a voting member but if you decided you have to be a voting member to be first preference to get gigs so a weird conundrum balance if you said someone couldn’t punitively reprimanding them before they had a chance to have a statement
o   Gaea I feel that on a whole we have a lack of accountability and in between things aren’t getting done and even though I send the nag email things have not been done in 2.5 years and I agree if you can’t get things done
o   Soozin policy?
o   Gaea it’s saying you don’t get a vote so you stopped getting progress getting done by not showing up and preventing quorum being achieved
o   Soozin you can say whatever you want to say and people could show and have a voice but not show up
o   Gaea you should show up
o   Soozin it should happen in the same year then declare and go forward…in this case you’re saying you forfeit the next year due to whatever like a health issue
o   Gaea it should be dealt with with compassion and I understand and hear your fear about if someone isn’t a voting member not getting accountability
o   Sharon maybe there’s another way to achieve accountability and build it in without that policy
o   Angie clarify you can miss 2 and not miss 3 right?
o   Gaea yes

o   Soozin coop committees we meet a week before the meeting it’s easier to get together for this volunteer to be on board
o   Tara what I heard you say mostly is you are concerned about accountability and it’s true that being at a meeting is actually beneficial to actually voting or weighing in on it but there’s a deeper c that doesn’t have to do with attendance at meetings and has to do with follow-through
o   Sharon what happens between the meetings
o   Gaea I want to address both of those and in the past I have mentioned having a year round chair and people have said that doesn’t fit
o   Tara It’s a broader thing and it’s good to be mindful
o   It’s not so much resentment about being nagger but about the lack of accountability
o   Sharon I think we should keep the attendance policy at meetings the way it is and as part of the discussions in the retreat, accountability does seem to be a consistent concern
o   Gaea, Sarah agree
o   Angie clarification did anybody miss 3 or more meetings this year? (someone said Yes)
o   Gaea we have attendance at all meetings and people have missed them and they are listed in the minutes
o   Soozin be more direct
o   Gaea we’ve missed quorum a few times Quorum is 6 with 8 voting members
o   Sarah we need more quorum
o   Gaea can we do more vote by email

Create list of possible new members/subs and review 15 min
o   Do we want more members/gig takers? Subs?
o   Gaea, Niccole, Angie didn’t get as many gigs as they were hoping for
o   Laurel – I took too many gigs cuz I could but now I know
o   Gig distribution is a big deal how do we disseminate and figure
o   Some situations like Ordway and Edina feels like there’s a lack of Stilters for gig…Angie, Niccole, Gaea could’ve worked more
o   Outreach should be ramped up cold calls and tell them we have stilting to offer
o   Get more scheduled subs or people on the list for a sub
§  Josie, Robin Char, Dana Baird, Alana Horton, Caitlin from Barebones and Alexandre
o   We could have more low-stakes show up for fun
o   Under 18? Meera is awesome could we do some sort of low-key thing not really paid but a bit
o   Angie – Eva knocked it out at Barebones Alexandre
o   Laurel studded tires winter stilting
o   Tara we were pretty well conversed with 18+ experience
o   Laurel not sure of 18+ rule but maybe we could have some gigs that are friendly for younger
o   Gaea we could seek out gigs that are kid friendly and create space for not just teaching Stilters but encouraging young Stilters
o   Soozin, knowing Meera means she wants to get paid but maybe not full price but maybe include ground-person to help and split money. Part of 18 + is conversations you have with people might be not prepared to have that talk
o   Family friendly and safety factor and liability
o   Gaea I want so much to encourage young people to stilt more
o   Tara we have to commit to that truly
o   Laurel We mentioned pro-bono gigs and a number we might do per year and maybe one way we do that we could bring in a young person to sub and be a ground person so the gig is covered

Discuss pay rates regulate rate increase 120 – 25 min
·         Pay raise? Hourly? 125 120
o   In effect this year or next year budget?
o   Gaea we’re raising our rates, if this doesn’t work for you this year we’ll keep it at this year but raise it in the next
o   Gaea I move to raise our rates to 125 per hour per stilter for 2017 applicable to all new clients, existing clients we will contact and inform of the increase in rates to be negotiated with the client. Tara

Attendance at retreat and women’s march – 10 min (could we ask to March and swap time of facilitator)
·         Tara I want to honor the time of the facilitator as we have already rescheduled and we don’t want to ask her to move the time again and also risk being late

Poem prayer for pussies maybe needed more discussion or time to make a conscious agreement and be more deliberate
·         Gaea: I want us to be more cognizant of political statements I want us to be more intentional about things
·         Tara: What would be needed to do a statement for the poem for it
·         Soozin: I didn’t want to not say yes
·         Three days to weigh in?
·         Get quorum to decide a thing?
·         Tara If a situation came up where it’s not a super common thing but we may want to voice in on something and we may want to express protest as an organization and in that circumstance if someone wants to say something I propose that we have quorum
